The organiser and its processor idloom process your data according to the European GDPR. The information you entered is needed to organise the event you are participating in, to generate invoices, to confirm your registration by email, to create your badge and to allow you to change your registration. This data may also be processed by the organiser for its legitimate interests: To promote its activities by informing you about them, to show you offers from partners and sponsors regarding this event, to obtain analyses on this event, to ensure a satisfactory network by displaying your name and company on the list of participants. You have the right to object to these processing operations.

Only after ensuring appropriate safeguards with the subcontractor or recipient, idloom will only process the user's personal data within the European Union, in third countries. They will be transferred to the organiser's country. The organiser will retain your data after the event until the legal obligations, in particular fiscal and need-based, for archiving have expired and until the end of responsibility.

You may obtain from the organiser (contact details of the VUB DPO can be found at https://www.vub.be/nl/privacybeleid-vub) the written communication of your data, as well as, where applicable, data portability, rectification, restriction of processing, deletion of data that is inaccurate, incomplete or irrelevant.

Cancellation by the Participant

Cancellations must be submitted in writing (via email) to house@vub.be.

If canceled up to 60 days before the event, 100% of the paid amount will be refunded.
If canceled between 60 and 30 days before the event, 50% of the paid amount will be refunded.
If canceled less than 14 days before the event, no refund will be issued.

By registering for the event, the participant agrees to these cancellation terms.

Cancellation by the Organizer

The organizer reserves the right to cancel the event in case of force majeure or unforeseen circumstances.
If the organizer cancels the event, participants will receive a full refund.
The organizer is not responsible for any additional costs incurred by the participant (such as travel or accommodation expenses).
