This Privacy Notice describes how we collect and use your personal data in the context of the Brussels Privacy Hub Summer Academy.

Identity of the controller

The Vrije Universiteit Brussel is responsible for the processing of your personal data as described in this Privacy Notice. You can reach us at brusselsprivacyhub@vub.be.

The information we collect and process

We collect the following information:

- Your name

- Your contact details

- Your participant category (PhD student or not)

- Your affiliation - Your biography and motivation letter

- Your IP-address

- Your dietary preference

How we collect your information

We collect the information you submit in the registration form and the information you submit to us via mail or social media.

Why do we collect your information

We collect your information to provide services in relation to our Summer Academy for Global Privacy Law (article 6(1)(b) GDPR).

Your name and contact details are collected to enable communication and provide personalized items such as name tags during the event.

Your participant category is collected to invoice according to the differentiated participation fees.

Your affiliation is collected to better adapt the content of the Summer Academy to the different participants.

Your dietary preference is collected to be able to offer lunch in accordance with the participants wishes during the Summer Academy. Your biography and motivation letter is collected to be able to select participants.

We may also use personal data in other ways for which we provide specific notice at the time of collection.

 

Whether we share or disclose your information

We may disclose personal data to our processors or authorize them to process the data to pursue one or more of these purposes. Our processors include:

Retention and deletion of your information

The data will be stored for the period of organization and activity of the Summer Academy and for a maximum of 6 months. After this period, all personal data related to your participation will be deleted.

Your rights

You have the right to:

– To access your personal data and obtain all the information on the processing as mentioned in Article 15 Regulation 679/2016, hereinafter GDPR, (origin, purpose, lawful grounds, details about the data controller, recipients, duration, other data subjects’ rights, etc.).

– You also have the right to rectify your personal data, update, delete or request limitation of processing. The content and exercise of these rights is regulated by Articles 15-18 of the GDPR. Finally, the data subject has the right to revoke the consent for the processing of his/her personal data. The revocation of consent does not affect the lawfulness of the processing based on the consent given before the revocation.

– You have the right to lodge a complaint with the Data Protection Supervisor if he or she believes that the processing of his or her personal data is in breach of the GDPR, pursuant to and in accordance with Article 77 of that Regulation.

Updates to our privacy notice

We may update this Privacy Notice from time to time and without prior notice to you to reflect changes in our personal data practices. We will indicate at the top of the policy when it was most recently updated.
